Introduction

Pipex.ai is a B2B industrial marketplace that connects buyers with manufacturers and suppliers for efficient trade of industrial supplies. To help users manage their business correspondence and RFQs efficiently without leaving the platform, Pipex.ai offers an optional integration with Google Workspace / Gmail services.

How We Use Google User Data

By choosing to link your Gmail account with your Pipex.ai dashboard, you grant the platform access to email messaging services to streamline your sales and procurement workflows. Specifically:

• Gmail Send Access (gmail.send): We allow you to send quotations, proformas, invoices, and automated follow-up reminders directly to clients from your linked Gmail account, up to a daily limit of 25 emails per day.

Google Integration User Flow

To provide full transparency to our users, below is the sequence of how our Gmail integration is utilized:

1. Seller Login & Connection:The seller logs in to Pipex.ai and connects their Gmail account through Google OAuth.
2. Document Creation & Dispatch: The seller creates a quotation, proforma, or invoice on the platform and shares it with the customer via email using gmail.send. Pipex.ai enforces a daily sending limit of 25 emails per connected account.
3. Customer Response Management: The email sent by Pipex.ai includes action buttons that allow the customer to accept, reject, or negotiate the shared quotation, proforma, or invoice. Based on the customer's action, the corresponding document status is updated within the platform.
4. Manual Status Updates: If the customer responds directly via email instead of using the action buttons, Pipex.ai does not access, read, or analyze the email response. In such cases, the seller may manually update the status of the quotation, proforma, or invoice from the corresponding Billing section to maintain accurate records.
5. Revision & Reminders: The seller can edit quotations, proformas, or invoices and configure automated follow-up reminders to send updated documents to customers.
6. Real-time Tracking: The seller can monitor document status, email delivery history, and reminder activity from the Pipex.ai dashboard.
7. Consent Management: The seller may disconnect their Gmail account at any time from the account settings page. Disconnecting the account immediately stops all email-related operations and removes stored OAuth tokens.

Google API Limited Use Disclosure

Pipex.ai's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data Privacy and Security

Pipex.ai uses Google user data solely to provide the email communication features explicitly requested by the user, such as sending quotations, proformas, invoices, and reminder emails through the user's connected Gmail account

• Pipex.ai does not use Google user data for advertising, marketing, user profiling, analytics, or training machine learning or artificial intelligence models.
• We do not share, rent, or sell Google user data to third parties. Google user data is stored securely using industry-standard encryption and is retained only while the user's Gmail account remains connected to Pipex.ai.
• Users can revoke access at any time by disconnecting their Gmail account from the account settings page.

Revoking Consent

You can disconnect your Gmail account from Pipex.ai at any time via your account settings page. Disconnecting your account will immediately stop any data syncing and delete synced tokens from our databases.
