Introduction

Pipex.ai is a B2B industrial marketplace that connects buyers with manufacturers and suppliers for efficient trade of industrial supplies. To help users manage their business correspondence and RFQs efficiently without leaving the platform, Pipex.ai offers an optional integration with Google Workspace / Gmail services.

How We Use Google User Data

By choosing to link your Gmail account with your Pipex.ai dashboard, you grant the platform access to email messaging services to streamline your sales and procurement workflows. Specifically:

  • Gmail Metadata Access (gmail.metadata): We access and monitor email message metadata, such as headers and labels (but never read the email body), to automatically track client responses (e.g. marking documents like quotations, proformas, or invoices as accepted, negotiated, or rejected) and maintain real-time document status.
  • Gmail Send Access (gmail.send): We allow you to send quotations, proformas, invoices, and automated follow-up reminders directly to clients from your linked Gmail account, up to a daily limit of 25 emails per day.

Google Integration User Flow

To provide full transparency to our users, here is the exact sequence of how our integration is utilized:

  1. Seller Login & Connection: The seller logs into Pipex.ai and connects their Gmail account via Google OAuth.
  2. Document Creation & Dispatch: The seller creates a quotation, proforma, or invoice on the platform and shares it with the customer via email using gmail.send. The platform tracks and enforces a daily sending limit of 25 emails per day per connected account.
  3. Customer Action & Status Sync: When the customer receives the document and interacts (e.g., requests negotiation, accepts, or rejects), the platform monitors incoming message metadata headers/labels via gmail.metadata to automatically update the document's state in real-time (e.g., marking it as "Accepted", "Negotiated", or "Rejected").
  4. Revision & Reminders: If the customer requests negotiation, the seller can edit the quotation on the dashboard, modify default reminder settings (available for quotations, proformas, and invoices), and set automated email follow-up reminders to send the updated document.
  5. Real-time Tracking: The seller can monitor their real-time email queue and reminder history to verify document status and successful follow-up deliveries.

Google API Limited Use Disclosure

Pipex.ai's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data Privacy and Security

We take the security of your data seriously. Your Google user data is used solely to provide and improve B2B communication features on Pipex.ai.

  • We do not share, rent, or sell your Google user data to third parties.
  • We do not use your Google user data for serving advertisements, user profiling, or any marketing purposes.
  • Your data is stored securely using industry-standard encryption practices and is only kept for as long as your Gmail account remains linked to the platform.

Revoking Consent

You can disconnect your Gmail account from Pipex.ai at any time via your account settings page. Disconnecting your account will immediately stop any data syncing and delete synced tokens from our databases.
